We are seeking a proactive and detail-oriented Executive Assistant to support the CEO in Berlin Buch starting in January 2025. This is a part-time position (30 hours per week) with the possibility of transitioning to full-time depending on the workload.

Responsibilities
  • Calendar Management: Organize and maintain the CEOs’ schedule, ensuring smooth coordination of appointments and meetings
  • Inbox Management: Oversee and prioritize email correspondence, ensuring timely responses and follow-ups
  • Management of appointments: Coordinate and book appointments, maintaining accurate records and reminders
  • Planning and scheduling: Provide assistance in organizing and scheduling internal and external meetings, events, and travel
  • Guest reception: Assist with the reception of visitors, ensuring a warm and professional welcome.
  • Telephone reception (secondary): Handle incoming phone calls and messages as needed
Your profile
  • Proficiency in managing calendars, emails, and appointments
  • Excellent communication skills in both German and English, both written and spoken. Minimum requirement: C1. Preferably a native speaker of one of the working languages
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Prior experience (3+ years) in an administrative or office management role for the executive suite in an international setting
  • Strong organizational and multitasking skills
  • Ability to work under pressure
  • Precise and detail-oriented
  • Professional and friendly demeanor
